Job Title: Membership Coordinator 

Status: Full-time

Reports to: Executive Director 

Works Closely with: Artistic Director and Administrative & Sales Coordinator 

Job Summary

The Membership Coordinator is responsible for overseeing all membership services. This will include all aspects of membership recruitment, cultivation and retention. The Membership Coordinator will also coordinate programs such as the Members’ Gallery Exhibitions, Studio and Professional Development Workshops & Courses and other special events/art projects. They will ensure that all members receive the appropriate membership benefit packages and will be responsible for meeting targeted annual membership goals.

The position requires excellent written, verbal and design skills; strong interpersonal and hospitality skills to interact successfully with members; and the ability to perform multiple tasks simultaneously while maintaining a high level of accuracy and organization.

Major Duties and Responsibilities:

  • Oversee membership services and opportunities for artist members
  • Create and execute membership outreach and recruitment campaigns
  • Communicate updated membership information to current, past and prospective members (in-person and online)
  • Give orientation tours to new artist members
  • Foster strong relationships with artist members and broader arts community
  • Coordinate Members’ Gallery installations (12 per year)
  • Coordinate two annual members’ exhibitions in Main Gallery (August and December)
  • Coordinate and attend all members’ opening receptions and other membership-related events
  • Coordinate calls for submissions
  • Provide support for Programming Committee meetings and juries
  • Coordinate studio workshops and courses for members
  • Coordinate professional development workshops for members
  • Coordinate special events and arts projects for members
  • Work during Art Crawl (every second Friday of the month)
  • Work at the reception desk when needed

Skills Needed:

Strong written, verbal and design skills. Excellent administrative skills, highly organized and meticulous attention to detail; proven excellent time-management skills, scheduling, data entry, mass mailings, customer service, initiative, problem-solving skills and sound judgment; ability to process acknowledgements for all membership gifts; thorough knowledge of Microsoft Office Suite and familiarity with Adobe Creative Suite.


This position is a full-time, permanent position reporting to the Executive Director and based in Hamilton. Full-time work consists of 37.5 hours per week.

The salary for this position is $35,000 per year, minus applicable taxes and CPP/EI contributions.
